A service window is the span of time your contract or the building's access rules actually permit. Not the time you usually go. The time you are allowed to go.

Pull each agreement and record four fields per location: nights serviced, earliest permitted start, latest permitted finish, and any hard access constraint such as alarm codes, badge escorts, or a lobby that must be finished before a 6:00 a.m. tenant arrival.

This stage catches a conflict class most operators miss entirely. A cleaner is not double booked in the overlap sense, but the second job cannot legally start until 7:00 p.m. and the first job cannot finish before 7:20 p.m. That is a guaranteed late arrival every single week.

Stage 4: Convert every job into a time block, not a start time

This is the stage that eliminates most double bookings, and it is the one most operators skip. Every job on the board needs a duration derived from cleanable square footage and a production rate, not from habit.

Here is the arithmetic on a real-shaped route. All rates below are illustrative assumptions from a hypothetical in-house time study, not published figures.

Midtown route, Tuesday night, one tech named Dana. Assume the time study returns 3,200 cleanable sq ft per hour for the medical suite and 3,600 cleanable sq ft per hour for general office, and add 10 minutes per site for setup, lockup and alarm.

Now lay those blocks against real clock times. Harbor Dental opens at 5:00 p.m. and Dana finishes at 6:34 p.m. Drive time to Alder Law is 18 minutes, plus the 10 minute buffer, so Alder starts at 7:02 p.m. and runs to 10:32 p.m.

If someone also put Cedar Financial on Dana for Tuesday, with a contract window of 6:00 to 9:00 p.m., the conflict is now visible on paper: Cedar's entire permitted window sits inside the Alder Law block. That is a double booking, and you can see it three days early instead of at 8:40 p.m.

Place work in this order, every week, the same way:
